The Tokyo Metropolitan Foundation for History and Culture (Hereinafter referred to as the "Foundation".) believes that the proper protection of personal information (including individual numbers and specific personal information) of customers and related parties is a very important responsibility. The Foundation strives to protect personal information based on the following policies.

1.Compliance with Relevant Laws and Regulations

The Foundation will comply with the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures (Hereinafter referred to as the "numbering method".) and the Act on the Protection of Personal Information (Hereinafter referred to as the "Personal Information Protection Act".), as well as the applicable ministerial ordinances based thereon.

2.Obtaining Personal Information

The Foundation clarifies the purpose of the administrative work of handling personal information and obtains personal information through legal and fair means, in principle, after notifying or publicly announcing the purpose of use in advance.
In principle, personal information is obtained from the individual.

3.Use of Personal Information

The Foundation will use personal information within the scope of the purpose of use indicated at the time of acquisition, etc. and to the extent necessary for the performance of business.
If we entrust the handling of personal information to a third party, we will conclude a contract with the third party to ensure strict confidentiality, clarify where the responsibility lies, and provide necessary and appropriate supervision for the safe management of personal information.

4.Provision of Personal Information to Third Parties

As a general rule, the Foundation will not provide personal information to third parties except in the following cases.

  • With your consent
  • Cases prescribed in the Personal Information Protection Act, the Number Act, or other laws and regulations

5.Management of Personal Information

The Foundation maintains the accuracy of personal information and manages it securely in accordance with laws and regulations.
In order to prevent leakage, loss or damage of personal information, appropriate and effective information security measures against computer viruses, etc. are implemented by installing firewalls on PCs used by officers and employees.

6.Disclosure, Correction, Suspension and Erasure of Personal Information

The Foundation will promptly respond to requests from customers and related parties for disclosure, correction, suspension of use, or deletion of their personal information. The procedures and disclosure methods will be explained at the following contact.

7.Disclosure of Matters Related to Retained Personal Information

When the Foundation announces the purpose of use of Retained Personal Information (Personal information created or obtained by employees of the Foundation in the course of their duties and used by such employees in an organizational manner.), changes to it, and other matters stipulated by laws and regulations and the Foundation's regulations, it shall do so on the Foundation's website (https://www.rekibun.or.jp/).

8.Organization and System

The Foundation appoints the Vice President as the Personal Information Protection Manager and Specific Personal Information Protection Manager, and implements security management of retained personal information. At each business site, a personal information operation manager and a person responsible for handling specific personal information will be appointed to handle retained personal information in a responsible manner. We will conduct training on the protection of personal information for all employees and ensure the proper handling of personal information in daily operations.

9.Establishment, implementation, and improvement of personal information protection-related regulations

In order to thoroughly implement the above policy, the Foundation will prepare regulations related to the protection of personal information, inform officers, employees, and related parties of these regulations, implement them, and make improvements on a daily basis as necessary.
